  1. Hypothetically speaking, if there's a decent campsite and someone organises a camping event, and 500+ people turn up for that too could it be converted to a Mega and we end up having the UKs first and second Mega event within 2 days?

     

    Hypothetically speaking, if that happened, the "UK's first Mega event" would need to be renamed "The UK's second mega event, just one day after the camping mega event"

     

    That would be brilliant.... however...

     

    Our objective always has been is to achieve Mega status in the UK, if it so happened that it does happen at the Camping event, so be it, but our objective will have been achieved.

     

    It is not our aim to get the Camping event to that size, logistically its a nightmare, its bad enough organising it in a proper hotel that have the facilities. Our aim for the camping event is to give a back up (place to stay) for those attending the Mega

    Basically the Mega event will be slightly different from other events, it will be a turn up on the day or take part in the "experiance" over a few days if you wish !!!

     

    The actual Mega event will take place on Sunday whereby doors open mid morning and close mid afternoon.

    There will be a lot of meet and greet (come and meet in excess of 600 cachers !!), food and drink, stalls to buy items, quizzes, organised cache walks - group and solo, childrens activities, TB and geo coin swops (loads of them) and more importantly loads of local caching in some of Harrogates best countryside we can offer.

     

    The experiance will start with other organised cache events taking place in the days leading up to the sunday event, so if you are coming for a few days caching come and join us for pub quizzes, BBQ etc etc

     

    As I said earlier, watch the main cache page for future details, and should you have specific details contact me through either the committee profile or my own profile

     

    You will enjoy the day I am sure... where else will you get to meet hundreds of cachers all in one place

  3. As a couple of cachers have emailed me after seeing the costs for hosting the event after seeing the conference room rates on the hotel web site, I hope that we have now answered previous questions as to why the committee need to raise funds

     

    There are a number of other costs that also need paying.

     

    Please therefore support Mandy's kind offer to raise funds in this way for the event.

     

    May I on behalf of the committee thank Mandy and of course all the people who are buying the calenders to help us out.

  4. I have spoken to the Manager at the Cedar Court Hotel this morning regarding rooms.

     

    He has over the last 24 hours had a number of bookings.

     

    There are currently as we speak 45 rooms still availiable, but can I please make the following announcement he asked me to say to avoid disappointment

     

    "The Hotel will be full at that time of the year, so to avoid disappointment, please book early. Also the room rates are based upon the same as the bucket flights at the airport.... first come get the cheap rate and as the hotel fills up and it gets closer to the time the room rate increases"

     

    So my advice is book early !!! There are some great prices at the moment, which will vanish.

     

    This is not and I repeat not a ploy by the hotel to get earlier or more booking, he is just stating the facts and wishes to help us !

     

    Harrogate obviously has a large number of accomodation from B & B's to the 5 star plus Majestic Hotel, so there will be no problem getting a room, but dont forget Harrogate is a conference town and that weekend at the moment there are no conferences !!!! (Lucky !)

     

    What a pity you are not coming two weeks later... the Harrogate Lingerie & Swimwear Exhibition is held ! :o:D

  5. Still no mention of pets. Can someone confirm or not?

    I can announce the following :-

     

    Dogs and other pets will not be allowed in the hotel.. (subject to normal rules)

     

    However we (hope/will) to provide a marquee outside giving covered areas along with watering /food areas...

     

    No elephants please (Without prior arrangement)

     

    Dont worry .... cachers come with pets.... we have considered this ! :)

  6. That is great news - I've already shown my intent to be there. :)

    Just one detail - the webpage still shows 1st August as the event date (7/1/2008) and this comes through when I download it to GSAK which could be confusing. :)

     

    Groundspeak only lets cache pages to have dates no more than 6 months in advance and as the event is still over 6 months away we can only move the event date to the correct date after 3rd February 2008

     

    The date will be updated, in the meantime we have moved the date closer to the actual date !

     

    Sorry for any confusion, but this will be addressed !!

    We are pleased to announce that the “Mega” event will be a day event based at the Cedar Court Hotel, a “Best Western” hotel based approx. 5 minutes walk away from the train station in the centre of Harrogate

     

    Harrogate’s Cedar Court Hotel is alongside the famous "Stray", a glorious parkland of 200 acres a truly picturesque area. Plenty of free parking is available with easy access to public transport.

     

    The whole hotel function rooms have been allocated to us, so there is plenty of space for all of the fun activities that are to be held.

     

    The date is Sunday 3rd August 2008.

     

    Unfortunately there was not a suitable event location on the 2nd August, but we hope that Sunday 3rd is acceptable.

     

    The event times will be approx. mid morning to mid to late afternoon. This should allow for people who wish to travel long distances back on that day ample time to get home before the next morning work/school etc etc

     

    There are a number of activities planned for the day which will hope to be of interest to those attending, both new and experienced cachers.

     

    These activities will be announced later.

     

    We are also planning a number suggested caching trails based upon distance/time/difficulty to take into account the surrounding Yorkshire dales and/or Harrogate centre area for those who wish to pick out the best caching and caches the area has to offer. This should help you plan your trip to Harrogate. Again watch the cache and web page for further details. Bookmarks will be published later.

     

    There will be a separate camping event announced at a date soon that will back up the Mega event for those wishing to make more than a day trip.

     

    Further news on special event geocoins will be published as soon as the company dealing with the production finalise details

     

    We shall be shortly asking via the cache page and our own website (to be published soon) for people to indicate numbers, so that we may be able to prove to Groundspeak that in excess of 500 people are attending. At that stage the icon will change to a mega icon.

    Finally, as you can see we have listened to the UK caching community and we thank you for your information. We are aware that we can not please everyone and the date and location might not suit everyone.

    Just to confirm that this is an official fund raising event for the mega event and thanks to Us 4 & Jess for there time and effort in the time etc etc to help the committee in this way.

     

    Please help us if you can to raise much needed funds.

  9. Just a quick appology for the slow delay in replying to emails.

     

    I have had over 100 emails in the last three or four days relating to the proposed Mega Event from various people with either suggestions or wishes of support.

     

    It is taking me a couple of days to get back to most people, and I appologise if you do not get a reply straight away.

     

    I will get back to everyone, please just bear with me...

     

    Please, please, please keep them coming, every email is worthwhile and helps me and the committee considerably in making decisions..

  10. Hi, this is a copy of a post I made on behalf of the entire committee on the event page after discussions between ourselves following the reaction to the date we set.

    Hi folks.

     

    We knew that choosing a date would cause some to drop out, but the committee wasn't quite prepared for the reaction tonight's announcement has had.

     

    Please bare in mind that were are human, and no one in the UK has tried to organise anything on this scale before.

     

    We are listening to public opinion, and as of now we are putting the date back into limbo.

    We have identified a weekend at the start of August which is a possibility, as it follows a Camping event in Derbyshire the week before, and is before another event the weekend after.

     

    What we ask of you now is to take part in this poll so the committee can see which date we should opt for. http://www.metalheads.co.uk/megaevent/poll.html

     

    The Committee meets again on Sunday 20th January, and we will make a revised decision on the date then. If anyone wishes to join us, please get in touch.

    Unfortunately the date chosen is very family unfriendly,

     

    Knowing that a few members of the committee have children I have to agree :)

     

    Never mind you will never please us all, and none of us with kids with that date :P

    Sorry Mandy to hear about that you could not come

     

    Just to let you know that 50% of the committee have children.

     

    This date was discussed with Families in mind and we came to the decision that a weekend away would suit children. The data we had showed 67 children attending along with 267 adults who had logged an initial interest. Well on the way to a mega event !

     

    Therefore children was very much in the discussion.

     

    We decided that leaving school on a Friday with it being the longest day there was plenty of time even for the longest journey to get up or down to Harrogate that night or if Families did not want to travel that day leaving on Saturday Morning at say 7am even with a 5 hour drive they would arive in time for the start at Midday.

     

    As I said in my log the other day, we are only a normal group of cachers and we are trying our best, some big lessions to learn....

     

    Obviously I hope that when the "dust" has settled then cachers can think about the logistics and re-consider.

     

    We also took into count that cachers with children could not attend in school holidays as they have prior committments and be away on Holiday !

     

    Catch 22 !! What did we do !

     

    We are learning fast

  12. Good evening UK and Europe

     

    The first committee meeting has just finished and we have thrashed out some early plans.

     

    There have been a lot of suggestions and tips on the forums and please keep them coming.

     

    Obviously we can not please everyone after all we a just a committee of normal cachers !!!

    May I please personally put out a thank you to all those who attended tonight and also the emails of support I have had from around the country.

     

    We are trying our best to make this a success. There are a huge number of hurdles we have to contend with, some of which have just come apparant tonight, and others no doubt we will fall into in the forthcoming months.

     

    As I said we can not please everyone and I hope the decisions that were made tonight you will appreciate and help us make the event fun for all. Hopefully the event will be remembered and enjoyed by all who attend.

     

    The cache page will be upgraded in the next couple of days with further details and more importantly a date !

  13. I've posted that I'll be attending, but I have quite a few reservations.

     

    Firstly - I'll only be there if will I be able to get time off work - no date known at present so can't committ 100%

     

    Secondly, why Harrogate? Accomodation (which would be essential for me travelling so far for an event) is VERY expensive there from past experience, compared to relatively close destinations such as York or Leeds.

     

    Thirdly, I've spoken to a couple of friends in the London area who would be willing to go to a main rail hub such as York but find Harrogate inconvenient as rail travellers.

     

    Just my comments - I still hope to attend if work and other circumstances alow, but I know of at least 2 others who won't even contemplate coming if it's in Harrogate...

    I think it has already been said

     

    Harrogate should not inconvenient for rail travellers... As you are probably aware Harrogate is a conference town and there firstly a direct train a couple of times a day direct to London. Secondly Leeds main railway station is only a 30 minute train journey away and trains run every 1/2 hour !!!

     

    If you travel to York which is the other main rail hub as you mention again there is again further trains running every 1/2 hour to Harrogate !!!

     

    I have just done a check on British Rail website and London (Kings Cross) to Harrogate is around the 2 hours 40 minutes with one change !!! London to York is 2 hours ! 40 minutes therefore to Harrogate and that is waiting 10 minutes for a connection !!!

     

    Any problems with travel please contact me and I shall be only too willing to help people with train connections etc etc

     

    As regard accomodation as I mentioned Harrogate is a conference town and the accomodation is so varied.

     

    If you fancy a cheep B & B or country pub there is that choice at one end of the scale right through to the 5 star plus hotels. If you want cheap accomodation I am sure we can come up with some on the list... Harrogate expensive ..... Mmmmm... maybe if you dont know where to look !

     

    We shall be publishing on the website as soon as we can our accomodation suggestions.

  14. Sorry but you will have to wait for my new cycle chaos cache.... :D

     

    We are still awaiting the spending of the £50M... Our local new cycleway/walkway/bridalway/caching route !! in Harrogate which links Ripley to Bilton has not been built yet !! :laughing:

     

    But dont worry, I think the local cachers will be lining up to pop one on there when it does appear !

  16. UK Mega Event 2008 is going to be a reality....

     

    I know it is still early days, but is there a likely date yet? The Piratemania event has just been announced at the end of July, and more will follow I would imagine. It would be a shame to run out of free weekends.

     

    Please bear with us..... It has only been 4 days since I volunteered to chair for this event, and 3 days since the other committee members volunteered...

     

    As I said a lot has happened and we are working on this 26 hours a day at the moment....

     

    You will know as soon as we know.....

  17. May I say a big thank you to Wimseyguy, there was a lot of useful items, and yes I have been trying to get in contact with other committees around USA who have held other Mega events.

     

    I shall be in direct contact !

     

    As Jaz666 and I will iterate this to the rest of the UK caching community, may I thank you for all your support and may I also confirm that despite not a lot of movement on the UK cache page, there has been an anormous amount of movement and discussions going on in respect of a lot po areas, geocoins etc etc

     

    UK Mega Event 2008 is going to be a reality....

     

    But...

  18. Just to give an update...

     

    A lot of things have happened in the past three days and I must say thank you to all the cacher teams who are currently watching the cache event page.

     

    Obviously we only need 500 people to attend and not 500 teams and so the 108 current watchers is great news after 3 days.

     

    In the next 7 days the cache page will be upgraded and we will also have our own dedicated website.

     

    One of the first requests will be for the 500 + names to be added to our own website to proove to Groundspeak that this event will be a Mega event... then we can apply for UK's first MEGA Icon.

     

    We will let you know when the list of names will be added.

     

    A lot of items have been discussed within the committee members and local councils, landowners etc etc have already been approached and meetings already held.

     

    We have and will take into account many of your views and we shall try to cater for as many as possible, but we can not please everyone.

     

    Please bear with the decisions the committee will make on your behalf.

     

    Further update on the Mega event will be made on the cache and website in the next week to 10 days.

     

    In the meantime, please can all cachers publicise the event as much as possible to members who do not visit the forums, e.g. mention in your caching logs etc etc
