+Czarniecki314 Posted March 5, 2005 Posted March 5, 2005 I'm planning my first event cache and would like to get it submitted tonight, here's what I've thought of as far as preparation... anyone have any thoughts? - permission/heads up to eating establishment - some sort of "goodies" for attendees - emails to area cachers to let them know it's coming Is there really anything else that needs to be done? I'm in an area where GeoCaching is becoming more popular, so I'd really like this to be successful. I'm thinking the event would be breakfast, and that I'd make photocopies of a list of local caches so that if people come from out of the area they could possibly hit a few. Anything I'm forgetting? Your event cache page will appear with the weekly latest cache listing that everyone receives. It will also show up on their searches and if you like you can add a blurb about it in GC.COM's New England forums, the NY Capital Region Geocachers forum and maybe get a mention on the VAGUE website. +Mopar Posted March 5, 2005 Posted March 5, 2005 (edited) You shouldn't really need "permission" from the place to eat, but a heads up that a large party is coming is a good idea. This way (hopefully) they will reserve an area for you so everyone isn't split up all over the place if it's busy. You shouldn't need to email anyone. Everyone within 100 miles will see it in their weekly cache email. Some people might consider an unsolicited bulk-email to cachers spam (there's been some forum angst over this before, and I think one person might have even been banned for repeatedly doing it) Just post it in any local/regional forums. Goodies are always fun. At the monthly event we host, we always have some stuff to raffle off (donated by us and other cachers). Easiest way I've found to work that is to make up strips if paper in advance with the same number on it twice. Each person takes a strip, tears it in half, and folds on half in half and adds it to the hat. This way everyone gets a random number, but we don't have any unassigned numbers to worry about calling. (this seems simple, but it took a few months to get a system down pat) The goodies don't have to be expensive, just fun. Some stuff I can think of we've raffled: decon containers, new geocoins, cache goodies, a bag of silica packets, a Charlie Brown Xmas tree decorated with TBs........ Good luck, and have fun! +Deliveryguy428 Posted March 9, 2005 Posted March 9, 2005 I belong to a group that we meet every month and we know about it because A- We are tight knit group B- We see it on the new cache page about 3 weeks in advance The night of the meeting we all meet at a local restuarant and network about hard caches at the time, or caches we might have down recently, new caches, etc...we also have a TB game going on right now, which go to the South/Southeast Forum for more information As for prizes, everyone who can brings TB's, Jeeps, and Coins for prizes and we do a raffle. Some people have brought ammo cans also for prizes. A lot just depends on your group and what they like to do. Quote
