Hey, I don't think you have to worry too much. Looking at the map there are plenty of caches in the area. Even a super number grabber like you won't make it to every cache in the area during the CM! :(

But I hyperventilate when I have to drive by a cache without stopping! :D

Trust us on this she really does... Its scarry when she is driving and the car starts to vear twards the edge of the road. :D

Luv you PP

So, if I book the Comfort Inn on N. Sullivan in Spokane Valley, I'll be near CM headquarters, correct? (Sorry, but I'm on the Choice Hotels frequent-stay program. :D )

Thanks for mentioning Spokane Valley; else I woulda picked a Choice Hotel in Spokane proper.

I've stayed there before, and have already booked a room there for the CM. It's a nice clean newer hotel, close to the freeway, and pretty reasonable rates. The date of the cache machine happens to fall within the end of the Choice Hotels triple bonus points promotion, too :(

Just carry a little paper sack and breath into that while passing a cache. Or get a perscription for Diamox for the CM. This will allow you to hyperventilate (blow off CO2) without the normal affects (dizziness, tingling in the extremeties, etc).

Or plan a couple of extra days for your CM and get everything! :D

Ok!! I spent a few hours out in the valley this evening!

Talked with Super 8 this eavning. I should get an e-mail back as soon as they get our group code for the website. Also, the meeting room is reserved for Friday. Basically, Anytime after Noon and we can get in for set-up and such. There are 15 Non-smoking rooms on the same floor as the meeting room. I wonder if those will fill up with cachers!

I was being Completely Sarcastic about invading McD's.

Talked with Longhorn also. They have a 50$ booking fee and max of 60 people, and Dinner is $16.00 per person.

Saw Marie Callendars and had to drop in. No Booking fee. 75 people in the room, with possiable seeting in the main area. 5 menu options avaliable(2 chicken, Country steak, top sirloin, and Salmon) Seperate checks. $200 minimum(if even 15 people show up, that'll cover it).

If we get more people than 90, then WOW! Lets see if we can bring this to the max!

The software that we are using for route progression is MapSource. I have had it for many years now and use it for Everything. The only downfall is that some of the street names are not there(I use the Outdoor edition).

Whomever has a list of the caches Completed on the last machine would be great!

Yes!! Carpool As Much as Possable. Talking of cars, Lets see if each driver can get one square Geocaching.com sticker and place it on the Back Drivers side of their car, so that everyone will know that your car is part of the group. Just a thought. (I will do that, but I put magnetic strips on the back of it, so that when I am in another state geocaching and renting a car, I can just stick it on the back of it.) It will also be postd on the cache page the specific duties of each person in each car. I Highly reccomend that each car work as a 3 person crew(at least). Hmm 50 Cars?? Should I look into corralling a BUS?!?*thinks* I did see one of those WSDOT pick-up truck scrolling bilboard things tonight. Do they rent those out??*hmmm*

I will have a list that everyone signs in to for Mass Cache Logging. That way, one person can sign the log..."4/28 - SCM2( username)" Username being not Everyone, but the person that actually signed the book. I will print out Micro log-books that say something to the fact of Logbook replaced by SCM2 on 4/28. If the owner is at dinner, then we will give it to them then. If not, the log-book will be kept by one of the locals and the owner contacted. Does anyone own a stamp making buisness? I'll check the price out here for making a Event Stamp. That'd make the 'sign'part alot easier.

<notes to specific responders>

hydnseek, Yes, the Comfort Inn is great. Its about 4.5 miles East, but about a 5 minuite drive down the interstate. If your not familiar with the Sullivan Exit, you have to be in the Right lane to go either way on to the interstate. If you miss the 'enterance', you can get on the outer road(going towards Centennial Tral PT2 cache) and get on the West-bound that way too. Also, I will have my Cell-phone with me and anyone can call me with the imfamous "Where are you at?" questions. Of course, the I'm lost ones are also answered. Course, with a GPS will that actually happen???

Just because someone attended the previous CM doesn't mean that they completed the whole thing. If you're dead set on excluding caches from the previous CM and are so familiar with MapSource, would you consider making both a "been there, done that" route and an "ain't never done it" route? That way the people who weren't at the previous CM or didn't finish it won't have to create one of their own or do without?

One advantage of putting more caches on a route than any normal cacher could find in a day is that it provides an opportunity to start the day in the middle of the route. We did that in Everett, started at the end and worked backwards as that seemed to be an interesting area to explore.

Agreement. My team's MO is to not start at o'dark early, but to start a tad later and at an interesting-looking part of the route, often in the second half and go backward, so we see folks coming the other way.

I agree as well. I prefer not starting out with a mob.

I called out to Northern Quest Casino too -I am afraid with all the early excitement we may need to sit/feed over 100... the I'm not sure but I think we could get a big room out there. It would be great to end near the starting point, but that may not be possible with such a large group to accommodate!

I have City Select MapSource, and have used it to do small CMs for my friends -perhaps I can 'upsize' the Steaks route for public consumption?

If you plan to list participant car duties, I'd recommend that you make it very 'suggested...' Cache machines have a lot of rules already, so folks may take that as heavy handed -part of the fun is figuring out how to work together for a day, and everyone likes to do it in their own way! Plus, not all participants like to cache in groups.

I really like the idea of some kewl signature items for everyone -am working on some ideas  Thanks Steaks for doing so much legwork!!!

Sorry, that was meant seriously, but the one rule that I Highly recommend is the Driver Drives, and the Navigator(the one with the map&GPS) tells the driver where to go.

My wife and I do it that way, and it seems to work verry well.

I'm Finnally posting the cache page as ready, but I'm sure I'll get something from the reviewers. Its listed as 'Spokane Cache Machine 2 (GC10X8A)'

I had a dream or nightmare last night. Something to do with the hotel calling me and saying that they were all booked up for the whole weekend. Then I checked a couple other hotels.. and they were filling up. Then, after the event I find out that it was a Mega event. Of course, I couldn't even immagine what we'd do then. Break it up into groups of 50 people and start here there and the other... Hmm

About the decals/stickers for vehicles:

AT the Longview CM one of the cachers went around to all the vehicles at the starting point and wrote LCM in the left back window with one of those vehicle marking pens. It worked really well and was a great way to see if a vehicle was on the CM or not.

And Jester was logging cars with one of those pens, signing windows as they met folks. It was pretty funny to return to to the car and see someone signing their name to it. I think we borrowed his pen to sign his vehicle as well.

So, instead of stickers just a SCM2 in the back window would probably work. We picked up some of those pens at wal-mart lsat summer for a good price. They write pretty thinly, kinda like a wide point marker, but it washes off. AND they come in all sorts of colors!!!

I hadn't thought about the pens.*throws sharpie in Geo-bag* That works! I'll be putting out v2 of the map for everyone to see in a couple of hours. Really is funny when out caching in the dead of winter with the A/C on in the car full blast to keep the laptop cool :ph34r:

Did you add a note to the reviewers about this thread? And that the IE Chapter of the WSGA is included as a 'sponsor/organizer'?

Also, I got word that Northern Quest Casino is booked solid that weekend... I am thinking that we might want to coordinate our efforts to find a dinner spot... it could really impact the route, and places are booking up!

I love Marie Callender's but if previous CMs are anything to go by, you need to think much bigger. You'll seriously only be able to fit about half the people in a room that size.

What she said- we FILLEd the Red robin for the SCM and Tri-Cities CM. And that buffet in Longview was PACKED!

Expect at least 75-90 folks to show up for dinner- many cachers, locals, their families and even some folks who have no idea what is going on but followed along anyway.

While the locals may not drive the route and find the caches, they will be out en masse for dinner!

One of the fun things about these is the car-pooling/convoys that happen. We had a small group we spent most of our Longview time with and have actually talked to a few of them on and off since them. KidAce picked some type of flower at one cache and geve it to Dean. The now dried but still bright yellow flower it still in the Jeep, kept as a reminder of that totally fun day we spent in WA and OR.

-Jen

That is so cool... I have sent a copy of the message to home so that KidAce can read it when she gets home from school.

umm.. Should I call up Long-horn and ask them what it'd take to get their whole restraunt from 6-8pm?

Lisa.. What did Northern Quest say?

I just called Old Country Buffet. Their location on Division is the only one big enough to handle the group, and they have a banquet room for 110 that is still available, though the manager was surprised it hadn't been booked as it is otherwise fully spoken for in April. He also said they could seat the rest of our group adjacent to the banquet room with no problem.

The Spokane Valley location is too small.

Buffets are nice, since everyone can help themselves and don't have a long wait for the kitchen after they place their orders, and the price is reasonable -- $11.39 for dinner, drinks and desserts on Saturday night.

I'd suggest you call ASAP if you want to book this location...call Mike (509) 467-3440

Northern Quest is booked solid. I just talked to the Longhorn, and they can only accomodate 60. They can do catering at another place (we'd have to get a hall) and are going to email me the specs and contract for review. We'd have to get a pretty tight headcount, and then pay up front... and then get everyone to pay their part... I'm pretty nervous about that as I know the Wenatchee folks got stuck with a big bill as some folks didn't pay their bar bills... plus we'd have to do a byob and then $10 banquet license. Gotta get back to work here -will be back in a bit.

Not to finagle a fine point, but won't the cache approvers not approve the dinner unless there is no per-person cost involved with the event? I remember PP commenting one time that the number of meeting spots in Kent was a small number because most of the areas that can handle a group of our size (such as Old Country Buffet) require a per person charge, which would not pass muster.

I seem to remember something about the rule of thumb being if you can't have someone join the group in the restaurant and just order a glass of water, it won't pass muster.

PP, can you speak a bit more on this?

I understand that the reviewers are becoming a little more lenient about this issue because appropriate places that are large enough to hold us all are becoming very difficult to find. A place like Old Country Buffet might not be a bad idea. What makes the best CM dinners is plenty of room for everyone, cheap eats, and LOTS of it. Many people cache right through lunch and are STARVING by the time we meet for dinner. Most of the Old Country Buffets have a huge meeting room that can be reserved, they are inexpensive, have enough different kinds of food to please everyone, and nobody goes home hungry. The only downer is that they don't serve alcohol, and for some people a CM isn't finished without a good beer.

I know you mean well however once you start throwing out words like "rule" then people will get their knickers in a knot.

While I agree with the idea of the driver only driving the reality is each group has their own way of doing things and you'll just have to accept that other than making suggestions you can't control cachers on the hunt for the elusive tupperware in the woods.

Remember everybody this is just a game and we are doing it cuz it is fun.

That requirement no longer seems to be the case. My last event, held in Mount Vernon in January, was at a Chinese Buffet and had about 140 show up. There was also a Christmas event held recently in Wenatchee at a buffet which worked well. The current requirements for approving an event appear to be that it is OK to hold an event at a dinner location where you must pay for your meal, but not at a location that has a cover charge or other fee for admission.

Well I took the liberty and called Mike and put us on the books as reserving their banquet room, 6pm the 28th of April. My family has reserved that room many times... it doesn't seem like it'll hold 110... but Mike assures me that it does. If we think that we are going to go over 110, they can accommodate more folks adjacent to the banquet room -but we do need to let them know ahead of time so they can reserve more tables in the main room.

Steaks -we can always cancel if you find a better place!

Only drawback: they don't serve alcohol. Mike is going to check with the home office to see if we can do a byob/banquet license, but he's pretty sure that will not work with their company policies.

If this is alright with folks, I'd like to suggest that we go for it and confirm our reservation. It's a huge load off of my mind

I think that's an excellent choice, Lisa -- that will solve what is always the most vexing part of a cache machine.

Here's another suggestion -- maybe those who would like to end the day with some "adult beverages" can set up another event at 11:00 p.m. after the night caching is over at a pub somewhere? Or if the reviewers won't do two events, at least pick out a location and time, and post the coords to the event page, for a wrap-up at a local watering hole in the wee hours

Update.

Room at Old Country Buffet is reserved. 110 people. Hmm When does this become a mega-event??

Pub meetup will be a 'waypoint' on the event page(when its published). Where do people want the pub to be? Near hotel, Dinner, or end of night cache??

Now that is settled. v3 of the route will be sent out soon. Ohh yeah, who has the route of the first cache machine??(or even the GC code will work)

I was wondering....is there a bookmark list of all previous cache machines? Seems like that could be a handy reference for planners of future ones. Lots of good 'standard' text, planning notes, route files, and commentary that could be helpful.

I noticed that k7-wave has a bookmark list for the 12 (wow!) he's attended, which is a great reference:

If someone could provide links to the missing ones (how many have there been total?), I'd be glad to create a 'generic' Cache Machines bookmark list. Looks like both Bremertons, Yakima, and Victoria are missing from his list, not sure what else.

Hey, I don't think you have to worry too much. Looking at the map there are plenty of caches in the area. Even a super number grabber like you won't make it to every cache in the area during the CM!

But I hyperventilate when I have to drive by a cache without stopping!

I can vouch for that.

Here's another vote for not worrying about what was on the last CM. Two of us in my car didn't do it, and the third doesn't mind revisiting a few (quick finds for us!).

It is fun to help someone get a quickie, but it also great to sit back and watch them searching around and around while you get a good laugh.

I was wondering....is there a bookmark list of all previous cache machines? Seems like that could be a handy reference for planners of future ones. Lots of good 'standard' text, planning notes, route files, and commentary that could be helpful.

Here is Travis' Event Owned list which has those you mention (Vancouver, Yakima and Brem1 & 2).

Travis events

MrGigabyte's Bellingham CM

Longview

H-C's Bellingham CM

Everett

That's all I can think of. Others?

I just remembered another one I attended:

We have been to 4 CMs and really love the buffet. It makes it easier for everyone to get their food a lot faster. Every event we have attended the number of people that show up are always amazing. My thought is that the 110 seating will not be enough for everyone. You may consider reserving more space if possible. It sounded like there may be another banquet room next to the one you already reserved.

REALLY love the idea of a potluck for pre-event dinner. Eating out with a family of four really hits the pocket book hard when doing two dinners.

You are doing a great job on the planning. We are planning on attending.

Do you know of any RV/camping parks in the area??? We may be camping instead of doing the hotel thing.

Yes, I think I'll call the manager tomorrow and reserve more tables that are adjacent to the banquet room. We may not all be able to sit in the same room, but it's all connected.

About RVing, on a quick google search I got:

http://www.google.com/search?q=spokane+rv+...lient=firefox-a

But I can't speak from any experience with any of these places

I am thinking about doing the RV thing as well. One catch would be no personal vehicle. So if the RV thing works out, who needs a jump-n-grab man for thier team? Keep me in mind

We have room for one more in our car, if'n you like our CM approach (see earlier in this thread).

Just a note on the buffet issue. As with all things, it's often on a case by case basis. Where I've had a problem in the past is if the resturaunt will not allow people to attend the event with out buying dinner. In the case of a cache machine, everyone will be so famished there won't be many people not eating. But the option to attend with out buying the full meal needs to be there.

Have some recent event's slipped through?? Sure. Does that mean that the next event submitted for a buffet will be published? Not necessarily. Before you settle on the Old Country Buffet it might be a good idea to check and see if they will allow peole to opt out of paying for a meal if they don't plan to eat. With a group this large, I would hope they would say yes.

 Hey Everyone! I have a rough draft of the routes. Either post here, or email me for the file. Its in MapSource format.

Thanks for the old route. I will verify it off the website and adjsut route accordingly. There have been a TON of caches since then, so I may just take out a couple. Which are your Favorite caches of this area? Tell me! I may add them to the route.

I will check with Super 8, but I think they shouldn't have a problem with a RV in the parking lot. The nearest RV Park to the hotel is the KOA Campground (509) 924-4722 3025 N Barker Rd, Spokane Valley, WA 99027.

I'll ask Old Country Buffet tomorrow when I get up. If I remember, last time I was there a drink was like $1.50. That way you could at least buy a drink to re-hydrate yourselves.
