geocaching event at a nascar race

i am looking at setting up an event here at the phoenix international raceway. i was hoping to find some people who could help set things up with me. i recently attended the geo event HalloweenRadioActive - Dead Man's Party. they had sponsors and competitions and raffles and prizes. man it was fun. i was hoping to set some thing up like this. i am contacting sponsors like SPEED the tv station. i am asking for them to give prizes and maybe even get a tv personality out there. MAYBE LIKE THE SPEED GIRLS. any way, i will be contacting others sponsors too. i want to have the event this novemeber and also in the april race too. if all goes well, maybe make it annually. i already have a local business who will be a sponsor.

 

i wanted to have the event last all weekend. well, friday evening into saturday. i want to have a rally consiting of teams getting packets of papers with info on them (4 different packets) the back sheet would have answers and coordnitates. (nascar oriented of course) and i was also thinking for the other day a rally were 6 different packets with coordinates that would have people go all the way around the outside of the facilities. there is a huge camp city. i am looking for cachers and sponsors to donate prizes. now, i don't think i can get the rallies set up for this novembers race but i would have more than enough time to set it all up for the april race.

 

i was originally looking to set up a multi-cache consisting of all the race tracks called "the chase for the cache" consiting of having others set up caches around racetracks. but most people responded saying they would like to have events at the racetracks. so maybe this could because some thing for racetracks around the country to have events at the track. i would like to hear from others who would like to see some thing like this or have the time to help with the event or can help with sponsors. i would also like to hear suggestions on things we could do at the event.

 

all the event would have things worked around times of the race and the speed tv programs.

Start by reading the guidelines for hiding a cache.

if you are refering to the part about being public or private property? then i did read that part. that would of course be part of my research. i intend to contact land owners and get permission. my concern inow is if i will get help setting it up.

 

if that is not what you are refering to than please explain better. because from what your coment is, doesn't explain or help. i am wanting to have a geo event, not a geo cache. i know that you have to read the guidelines for hiding a cache to set up an event.

There are two issues under the listing guidelines that are far more central to the proposal you described than the peripheral issue of private property. One arises under the guidelines applicable to all types of caches, and the other issue is in the specific guidelines for event caches. Can you spot those issues?

While a music concert, a garage sale, a ham radio field day or town’s fireworks display might be of interest to a large percentage of geocachers, such events are not suitable for submission as event caches because the organizers and the primary attendees are not geocachers. In addition, an event cache should not be set up for the sole purpose of drawing together cachers for an organized hunt of another cache or caches. Such group hunts are best organized using the forums or an email distribution list.

 

it will not be set up to search out other caches.

i understand the part about not having an event based on some thing like a concert but see it this way, it will be an event based around, not on some thing going on such as a concert. if you are not a person who has ever gone to a nascar race weekend then you would (may) not know but there is a lot of free time if you camp out the weekend of a nascar weekend. it would be for geocachers only also.

 

ok, if that is not what you are refering to, then what you were did not fall off my monitor so that i knew whaich parts you are talking about. :D

What they are saying is that you cannot list a geocaching event that is attached to another, non-geocaching event like a concert or a NASCAR race. Now, if you had your event at a restaurant or a park near the track and made references to the race in your cache page then you might be in business.

Not to discourage you, but start small with your first event and then build to larger things down the road.

thank you, that is the answer and help i was looking for. i will consult with my local viewer and see what they think about the area i was thinking about. i can understand about starting small. maybe i am getting into some thing bigger than i should for a first event. it's just that i went to an event (my third) this weekend an they had it all set up and it was a lot of fun.

Getting someone to donate a prize, and mentioning their name in a list of donors on the cache page, should be OK. Calling your event the "Speed Channel NASCAR Cache Rally" would not be allowed without prior permission from Groundspeak. Review the section of the listing guidelines on Commercial Caches / Caches that Solicit. Part of geocaching's appeal is that it is largely a non-commercialized activity.

thank you. i was only looking at sponsors for the aspect of having prizes to award. at the event i went to was also sponsored and the sponsors gave some really cool items. i may just have gotten ahead of myself. i have never held an event and i have only attended three. two of which were just at a restaurant. the name i was looking at naming the event is "chase to the cache event" and i would not have the sponsors names listed on the geopage.

 

on know in the "organized geocaching" topics have good info but nothing really on geo events. i appreciate the feed back. other suggestions are welcome.

 

if this thread is in the wrong topics please move it. it's just there is not much responses in some of the other topics.

I might attend a pre-race event at the pancake house down the road, but there is NO WAY I'm paying to go to a NASCAR race (or any other similar event) to log an event cache.

hey azcachemeister, missed you at the radioactive event. i kept looking but never saw ya.

that is one thing about the event i wanted to have. camp city is outside the track and in an area that would be great for an event, nascar or not and you would not have to pay to park, or stay for the race itself. and friday and saturday's race, there isn't that much traffic to make it a hassle getting in and out. but the pancake house might be an idea. i was hoping some arizona cahcers would see this and give their input.

As a race fan, new geocacher, and Phoenix area resident, I love the idea of a racing-themed event. I found out about the Halloween Radioactive event too late to go this year, and was quite disappointed. I'm already planning to make a point of going next year, as it sounds like great fun and a wonderful way to meet other cachers. I could certainly see myself getting excited about something like this. It would certainly need to be a separate event...which is why I say "racing themed" as opposed to "Speedweeks Nascar Geocache event" or something.

 

As someone who does a lot of volunteer work at my son's school, I think the advice to start small is very good. My son's school is a charter school, and relies heavily on fundraisers. The amount of work we go to in order to bring in sponsors, donations, etc. to certain school events is enormous. I wouldn't even know how to start, and I don't know how they do it (I'm just a grunt worker and do what I'm told, which is fine by me ;)), but I do know it takes a lot of time and work by a lot of people. I realize what you're talking about isn't the same thing, but it is similar in terms of the time involved to organize and bring in sponsors, which is why I bring it up.

 

It sounds like you're excited about a general idea, but don't know much about the implementation. That's ok; I don't mean that as a criticism and I realize that that's exactly the reason you're here. I just think you have a lot of research and coordination ahead of you. Honestly, I don't see pulling something off for the November race. You could pull off something a lot smaller, though. I personally have no idea how to start, but if it were me I would try talking to the folks that did the Halloween event. Tell them your ideas and I would bet they would have some good suggestions as to how to frame what you're wanting to do in a format that would be successful and positive for the geocaching community, as well as give you an idea of the kind of amount of work/man-hours you can expect to need to put into it.

you are correct in all comments. it was fun (i went) and that is why i am jumping in to wanting to have an event. as i said in an earlier post that there is a lot of free time around the races and would serve to have a geo event based around the race. i thought "chase to the cache" being as it does not commercialize nascar or other sponsors involved. you do have to make it out to the halloween event. it was great.

i reread my first and noticed i did not mention that the event i wanted to have for the november race would be small. no real activities, just more or less a geat together of cachers and nascar fan cachers. i was hoping to find more help and maybe some donations from people for raffles or some thing. i emailed speed and asked them if they could donate some cuzzies and flags or any thing they could spare. the comment on having the speed girls was just a joke. more or less i just planned on contacting just a couple of people for sponsorship. i don't think i have the organizing skills to bring any thing big as for sponsors though i did notice that garmin is now sponsoring a car. maybe they would donate some thing for a prize. i use a garmin myself.

yes i am excited. i do not see what you say as criticism. constructive, yes. i had some much fun at the halloween event and how they had it all set up, i wanted to do something similar. not as far out as they went but some thing along the lines. more or less a wanted to have a get together for this novembers race and maybe a bigger event for the april race. i don't expect to even come close to what the people put together for the halloween event but i know i could come up with some thing fun.
